This Privacy Policy applies to the e-learning platform of the ROXANNE project (hereinafter the ‘ROXANNE e-learning platform’ or the ‘platform’) and governs data collection and usage for the project’s respective research purposes as explained below in the relevant section and in the policy scope.

POLICY SCOPE

The ROXANNE e-learning platform is an education electronic platform developed by ADITESS under T8.2 ‘End user training’ of the ROXANNE project that combines theoretical and practical meansof learning. It will be adapted to match ROXANNE’s needs for end user training during pilots. Τ8.2 will develop a set of training materials (manuals, physical and/or online training, etc.) that will assist the endusersto use the ROXANNE e-learning platform. The trainings will be activated before each field test as part of T8.4 ‘Design, implementation of field tests’ with the platform aligned with three phases of fieldtests during the lifetime of the ROXANNE project. For targeted and effective theoretical and practical training, the platform will combine aset of interactive means (i.e., documentation, presentations, videos, simulation). The platform willbe hosted on the KEMEA server, and work produced in WP2 ‘End-user requirements and use cases’ will be used to shape sample training scenarios.

This Privacy Policy applies regardless of whether you use a computer, mobile phone, tablet, TV or other device.

PERSONAL DATA PROCESSED BY THE PLATFORM

Necessary fields that are filled in by you are your First Name, your Surname and your Email Address. This information is requested when logging in for the creation of your username and password on the login page. After the creation of your username and password, the platform gives you the option to hide your status when you are online.

 

Optional fields that are filled in only if you wish to provide this additional information are: City/town, Country, Description (for short CV for example), Profile Picture, Additional names, Interests, Web page, ICQ number, Skype ID, AIM ID, Yahoo ID, MSN ID, ID number, Institution, Department, Phone, Mobile phone, Address.

 

It is recommended that you provide only the necessary information.

 

 

PURPOSES OF PROCESSING

The personal data are processed by the Joint Controllers for you to be able to access and use the ROXANNE e-learning platform. The objective of the platform is to be an online place that promotes education and communication amongst its users.

 

 

LEGAL BASIS

The personal data that the ROXANNE e-learning platform processes are provided by you when you decide to access and use the platform. The processing is based on your consent which is the legal basis in accordance with Article 6 (1) (a) GDPR.

 

DATA STORAGE & DATA SECURITY

The only personal data that will be stored is your name and email address. We will not share your contact details with no one and they will be securely stored by with access only by authorized personnel.

We utilize state-of-the-art technology to store your data. The following safeguards are used, for example, to protect your personal data from misuse or any form of unauthorized processing:

  • Access to personal data is restricted to a limited number of authorized persons for the stated purposes.
  • The IT systems used for processing data are technically isolated from other systems to prevent unauthorized access and hacking.
  • Access to these IT systems is constantly monitored to detect and prevent misuse in the early stages.

 

DATA RETENTION

We will keep your personal information only for as long as it is relevant and useful for the intended purpose for which it was originally collected (execution of the training as part of T8.2 or, at the latest, execution of the relevant field test as part of T8.4).

 

COOKIES

Cookies are small text files that can be used by websites to make a user’s experience more efficient. The ROXANNE e-platform does not collect any cookies apart from the ones that are collected by Moodle.

Two cookies are used on this site:

The essential one is the session cookie, also called MoodleSession. You must allow this cookie in your browser for continuity and for remaining logged in when browsing the site. When you log out or close the browser, this cookie is destroyed both in your browser and on the server.

The other cookie is purely for convenience, also called MOODLEID or similar. It remembers your username in the browser. This means that when you return to this site, the username field on the login page is already filled in for you. It is recommended that you refuse this cookie – you will just have to retype your username each time you log in.

 

DATA RECIPIENTS

Personal information provided by you once logging in is accessible only by the Joint Controllers.

Your name will be visible to the other online platform users for all users to be able to communicate and exchange knowledge. However, the platform gives you the option to hide your status when you are online.

Third parties may be notified only when a legal obligation exists.

 

DATA BREACHES

We will report any unlawful data breach of your data within 72 hours of the breach if it is apparent that personal data stored in an identifiable manner has been stolen.

 

YOUR RIGHTS AS DATA SUBJECT WITH RESPECT TO YOUR PERSONAL DATA

Under Articles 15-21, 77 GDPR, you have the following rights as data subject:

 

Right of access:

You have the right to be aware and verify the legitimate nature of the processing. So, you have the right to access your personal data and receive additional information about how we process it.

 

Right to rectification:

You have the right to study, correct, update or modify your personal data by contacting the Joint Data Controllers (see contact details below).

 

Right to erasure:

You have the right to request deletion of your personal data when we process it on your consent or in order to protect our legitimate interests. In all other cases (such as, where there is a contract, obligation to process personal data legally required, or public interest), this right is subject to specific restrictions or shall not exist, as the case may be.

 

Right to restriction of processing:

You have the right to request a restriction of the processing of your personal data in the following cases: (a) when the accuracy of the personal data is contested and until the accuracy is verified (b) when you oppose the deletion of your personal data and request the restriction of their use instead, c) when personal data are not needed for processing purposes, they are however required for the establishment, exercise, or defense of legal claims, and (d) when you object to the processing and the decision on your objection to processing is pending.

 

Right to data portability:

You have the right to receive your personal data free of charge in a format that allows you to access, use, and edit them with commonly used editing methods. You also have the right to ask us, in case it is technically feasible, to transmit the data directly to another controller. Your right to do so exists for the data you have provided to us and is processed by automated means based on your consent or for the execution of a relevant contract.

 

Right to lodge a complaint with a national supervisory authority:

You have the right to contact the supervisory authority of your habitual residence or workplace or our company headquarters. In the latter case, you can file a complaint with the Hellenic Data Protection Authority (www.dpa.gr).

 

Right to withdraw your consent:

In cases where processing is based on your consent, you have the right to withdraw it without affecting the lawfulness of processing based on consent prior to its withdrawal.
